Position overview

The Officer of Assessment and Exams is responsible for the coordination and administration of assessments and examination processes at the Birkbeck Bengaluru Campus. This role ensures the secure, timely, and compliant delivery of examinations and assessments, supporting academic integrity and a high-quality student experience.

Main Duties:
Coordination and Administration of Assessments and Examination Processes

•   Coordinate the delivery of examinations across the academic cycle

•   Prepare examination schedules in collaboration with academic teams

•   Organise exam logistics including venues, materials, and invigilator coordination

•   Manage assessment submissions, processing of results, and maintenance of accurate records

•   Maintain assessment data with a meticulous, zero-error approach to data entry and validation

•   Use Microsoft Excel and reporting tools to audit, validate, and manage large datasets of student results

•   Plan and manage workloads during high-volume exam periods, ensuring deadlines are met

•   Maintain standard operating procedures (SOPs) and contribute to process improvements

•   Demonstrate strong organisational and administrative skills in managing complex processes

•   Apply problem-solving skills to resolve logistical issues (e.g. timetable clashes, script discrepancies)

Supporting Academic Integrity

•   Ensure compliance with academic regulations, policies, and assessment frameworks

•   Maintain accuracy, consistency, and integrity of assessment and results data

•   Apply rigorous quality checks to examination scripts and results processing

•   Handle sensitive data with strict adherence to confidentiality and data protection requirements (DPDPA 2023)

•   Uphold academic standards through careful administration of assessment processes

•   Support transparent and auditable records in line with institutional and regulatory expectations

•   Maintain integrity in all processes by following defined procedures and governance controls

Providing a High-Quality Student Experience

•   Provide responsive and professional support to students and academic staff

•   Communicate effectively with stakeholders including academics, students, invigilators, and external examiners

•   Ensure timely handling of enquiries and provide clear guidance on assessment processes

•   Support a smooth and stress-free examination experience for students

•   Work collaboratively within a dynamic team environment to deliver high service standards

•   Demonstrate strong written and verbal communication skills in all interactions

•   Promote equality, diversity, and inclusion in all aspects of service delivery

•   Contribute to a positive student experience through accuracy, reliability, and responsiveness

•   Maintain accountability for safe working practices under the OSH Code

•   Maintain integrity in all processes by following defined procedures and governance controls

Person Specific General Requirements

Candidates Must be Able to Demonstrate the Following:

•   Knowledge of assessment, examinations,  and academic administration processes within a higher education environment.

•   Understanding of academic regulations,  policies, and quality assurance requirements.

•   Awareness of exam timetabling, marking  workflows, and results processing.

•   Knowledge of data protection and  confidentiality in handling student records.

•   Understanding of student lifecycle  processes and systems (e.g. GNUMS or equivalent).

Technical and/or Work-Based Skills

•   Ability to coordinate and administer  examinations, including scheduling and logistics.

•   Strong data management skills, including  accurate entry and processing of student results.

•   Ability to use student systems and  databases to manage assessment processes.

•   Ability to produce reports and maintain  records related to assessments and outcomes.

•   Strong attention to detail to ensure  accuracy and compliance in exam processes.

•   Ability to support academic staff with  assessment-related systems and processes.

•   Experience using reporting tools or  analytics to support decision-making.

GEeneral Skills and Attributes

•   Strong organisational and time management  skills, particularly during peak assessment periods.

•   Ability to manage multiple deadlines and  work under pressure.

•   Excellent communication skills, including  the ability to liaise with academic and professional staff.

•   High level of attention to detail and  accuracy.

•   Ability to work independently and as part  of a team.

•   Proactive approach to problem solving and  process improvement.

Expereince

•   Experience in academic administration,  examinations, or student records management.

•   Experience handling sensitive data and  maintaining confidentiality.

•   Experience coordinating processes or  events with multiple stakeholders.

•   Experience working in a higher education  environment.

•   Experience supporting assessment systems  or digital exam platforms.

Qualifications

•   Degree or equivalent qualification, or relevant experience.

•   Relevant training in administration, data  management, or higher education processes.
